Terms and Conditions

Making a Booking with Camping Pod Heaven LTD

When making this booking you agree and understand; 

  • That you or at least one member of your party is eighteen years or over,
  • That you have the authority of all persons in your party to book on their behalf.
  • That you are responsible for any loss, additional cleaning or damage caused by any member of your party or animal accompanying you.
  • That the prices shown on your Booking Confirmation is for the specific number of pods and number of nights that you have booked.
  • That each camping pod sleeps up to a maximum of 4 persons. 
  • That you are entitled to park one car per pod for free.
  • That any additional vehicles and/or trailers are chargeable and must be authorised.
  • That the price for each pod includes mattresses, heating, light, double 6-amp socket, access to shared bathroom facilities and Wi-Fi. 
  • That BEDDING, LINEN and TOWELS are not included in the cost of your holiday. 
  • That bed packs can be hired for £10 per person, for the duration of your stay and payable by cash and/or credit/debit card on arrival – bed packs are available up to 20:00.
  • That guests will be charged a prepayment of 30% of the total price after reservation and the remaining amount in the 60 days before arrival.
  • That special requests, including requests for adjacent camping pods, must be indicated to us at the time of booking, and cannot be guaranteed.
  • That no more than 4 people can sleep in a pod and you will be charged extra if we believe that additional persons have been accommodated.
  • That dogs are charged £5 per night, per dog and payable by cash and/or credit/debit card on arrival.

  • That Camping Pod Heaven LTD, contact can be made with the campsite within reasonable office hours. If you have either made late booking or an agreement has been made that payment on arrival is acceptable then you are also bound by these same terms and conditions.
  • That you must pay for your booking in full on arrival, you can pay by cash and/or credit/debit card.
  • That you cannot sleep in a pod, use the facilities and services without paying. 
  • That a security bond of £100 per pod may be requested upon arrival at the owner/manger’s discretion.
  • That refusal to pay the bond may mean the booking is cancelled and no refund offered.
  • That if any member of the party has any special needs or requirements, please let us know and we will try to accommodate these but can't guarantee this is always possible.

Refunds and Cancellations

The guest will be charged 30% of the total price if they cancel after reservation and the total price if they cancel in the 60 days before arrival. Refunds will not be given if you decide to cancel your booking or leave the campsite early due to inclement weather, illness or other reasons beyond your control. We recommend that you buy holiday insurance to compensate you in these circumstances. We may have to cancel or change a booking in a significant way due to events beyond our control. If this occurs, we will return to you any money paid in respect of the booking, but we will not otherwise be liable for any loss caused by cancellation or alteration.                 

Group Booking

We cannot accept large family or friend groups without prior arrangement. Proof of group status and a security deposit of £100 per pod will be requested when booking. Our campsite is not suitable for stag, hen or celebration parties.  If your group consists of such a party, we will refuse to allow you access and require you to leave the campsite.

Occupation Limitations

Occupation for each pod is limited up to four people. A double electric socket is supplied in the pod and limited to 6 amps to prevent the supply from being overloaded, it WILL NOT support the use of a domestic kettle, hair dryer, microwave or electric hob and will trip your pod. The electric supply is designed to support low voltage electrical appliances such as chargers, low voltage travel fridges, travel kettles, travel hair dryers etc. You must ensure your electrical items are safe and ensure that all appliances are not defective. There are some pods that you may not be able to park outside.  Designated parking bays have been provided and all equipment must be carried to the camping pods. Breakages and damages must be reported as soon as is reasonably possible and we may charge you for any damage. We may charge you for the relevant costs if extra cleaning is required. You must comply with any general regulations relating to our campsites. A summary of these may be found on notices displayed around the site and in your pod. If in any doubt, ask.

Access and Sat Nav Advice

Do not use Sat Nav after leaving the A82 from the turning circle on to the unclassified road towards Abriachan, refer to your Booking Confirmation for detailed directions or Google Maps ‘Camping Pod Heaven’.  If in any doubt, ask. We are not held responsible if you cannot find the campsite and you fail to take up occupation of the camping pod.

Arrivals and Departure  

Arrivals are from 16.00 to 20:00 and all pods must be vacated by 10.00 the morning of your departure. Any stay that extends beyond this period will be subject to a charge for any additional day/s.  On the day of your arrival, the campsite will notify the lead guest via a message to their mobile phone that their camping pod is ready and how to access to the pod. If for any reason this is not possible then the lead guests name will be written on a slate outside their allocated pod.  You will have access to a key to the pod. On departure, leave the key in the door or you will incur the cost of a replacement.

Behaviour

No structures, including rope swings and washing lines can be tied or secured to trees or vegetation. Any structures that are or are judged to be causing damage to the campsite will be taken down or removed. The owner/manager reserves the right to do so without prior consent and wholly at the owner/manger’s discretion. We operate a strict ‘No Noise’ policy between the hours of 22.00 and 07.30 and we ask that you refrain from excessive noise at all other times.

We reserve the right to ask any guest to leave who present a menace or disturbance to other campers including excessive noise and failure to adhere to campsite regulations without refund. We reserve the right to ask any guest to leave who uses the camping pod for any dangerous, illegal or immoral activities without refund.

Fire Safety

It is important that guests familiarise themselves with the IN CASE OF FIRE ACTION PLAN, these are clearly displayed in the toilets and in the camping pods. To protect our wood, the chopping and the burning of our wood is strictly prohibited. Charcoal barbecues are permitted, provided they are raised off the ground, either on gravel or stone and not placed directly on the pod or campsite picnic tables. BBQs must be extinguished by 22.00.  For Fire Safety, do not use gas stoves or naked flames inside the pod. Cooking inside the pods is NOT permitted and can be lethal due to carbon monoxide poisoning. Smoking is NOT permitted in, around the pods or in the wood.  A sheltered designated smoking area has been provided.  Do not dispose of your cigarette ends on the ground, please use receptacle provided. We have provided an open fire pit and a communal BBQ.  Guests should bring their own logs and charcoal. Open fires, guest fire pits, Chinese lanterns and fireworks on the campsite and surrounding areas are prohibited.

Negligence

Guests will be held responsible for any fire, damage or alteration to the camping pod caused by negligence. Guests are guided to familiarise themselves with emergency information and ‘In Case of Fire’ Notices provided in the information folder in their camping pods.

Travel Insurance

We recommend that you buy insurance to cover cancellation, loss, damage or injury. As a small business, we are not able to act as your insurers and re-arrange your stay due to your changes in personal circumstances.

Wireless Facilities-WiFi

We have a ‘Fair Use’ policy in place with regards to the free Wi-Fi, please refer to signage in the pod. Wireless internet access, where available, is not guaranteed. The facility is not subject to any security/filtering measures and requires continuous parental supervision when used by children. We reserve the right to disclose your name and address to our internet service provider if we discover that you or a member of your party illegally downloaded content from the internet or otherwise engaged in unlawful activity whilst using this facility.

Improvements and Maintenance

As we continually improve our facilities on our campsite you may find that there is development or refurbishment work going on in certain areas of the campsite. Whilst we take steps to reduce the impact of such works, you may experience noise and visual disturbance. Please observe appropriate signage and ensure children are supervised. Maintenance work or housekeeping tasks are undertaken in and around your pod during your stay, although in such circumstances we try to minimise any inconvenience.

Cleaning Policy

We ask that you leave your Camping Pod and the area around your pod in a clean and tidy state upon your departure.

Group bookings that leave their Camping Pods in an untidy state may forfeit an amount of their security deposit to pay for their cleaning costs.

Waste Disposal Policy

The campsite has a limited fortnightly food waste collection. Food waste should be put into sealed black bags and placed in the green waste bin near the entrance to the site. We are all legally required to separate materials for recycling, so please use the recycling bins for paper, bottles, aluminium, cardboard and plastics, it is on your behalf that we take these items to the waste recycling centre.

We are not responsible for taking your unwanted camping equipment to the recycling centre, take your items home with you. All areas of the campsite must be kept clear of rubbish and food waste.

Septic Tank

All grey waste water from the toilets, showers and sinks is treated on site with our water treatment plant. The Scottish Environmental Agency (SEPA) has authorised Camping Pod Heaven LTD under Licence to discharge the treated effluent into a watercourse, the discharge quality is monitored regularly. It is forbidden to pour/put items such as cooking oil, baby wipes, feminine sanitary products, Durex, medication, nappies, ear buds, cigarette ends, plasters plastics and any chemical down the sink or toilet. All guests are requested to ensure compliance so as not to cause adverse ‘pollution’ or ‘harm’ to the water environment. If the event of an ‘incident’, the cause of the incident will be reported to SEPA for a full investigation.

The Weather

In the event of a Meteorological Office Severe Weather Warning or any unpredictable adverse weather and at their sole discretion, the owner/manager may have to close the campsite. We trust that you appreciate that we can take no responsibility for the weather conditions at the time of your visit.  In the event of this happening, Guests will be contacted as a matter of course but guests are also urged to check the status of the camp site if they are under any doubt due to weather conditions. If you are unable to occupy a camping pod due to campsite closure, you may be able to obtain a full or partial refund, or a credit note directly from the campsite and at the discretion of the owner/manager which is final. We accept no responsibility for finding alternative accommodation and exclude any liability for any cost incurred by you.

Should you choose not to travel because of the weather but the campsite remains open, no refunds are available under any circumstance. In the event of freezing temperatures, the water supply to the facilities may be turned off. Turning the water back on will be scheduled to suit the temperature but in the meantime alternative arrangements, for which you will be advised, will be coordinated by the owner/manager. In winter, please be aware that the campsite’s access track, environment and surfaces can be cold, wet and slippery. Guests are advised to dress appropriately and ensure that their vehicles are ready for winter. The campsite’s natural landscapes include some steep slopes, rough terrain, boulders, ditches, trees, brambles, bushes and other natural hazards. Depending on the weather, conditions can be, icy, slippery, wet, hot, dry and brittle. Guest are advised to take sensible precautions to minimise the risk of being bitten by ticks, midges or any sort of stinging/biting insect. We cannot be held responsible should any guest be bitten, and we advise guests to be mindful and take appropriate advice. You must also expect that at certain times of the year creatures such as wasps, mice, spiders, birds or ants may enter the camping pods.  By booking with Camping Pod Heaven LTD you are acknowledging that you are aware of the risks, hazards and dangers of entering the woodland and campsite.

Children

Parents are held responsible for their children’s welfare whilst playing on the campsite. Young children must be supervised always.

Pets

Dogs are made very welcome at the campsite, provided they are kept under strict control and on a lead always. You must notify us at the time of booking if you intend to bring a dog on site. Dogs are limited to a maximum of two per pod and incur an additional charge at £5 per dog per night which is payable on arrival. Dogs must bring with them their own bed.  They must be clean and well groomed. They must not be allowed to sleep on the campsite’s mattresses. A charge of £20 will be made if any pod requires excessive cleaning for dog hairs.  This will be documented, and an invoice will be raised separately. Dogs should be exercised away from the main camping areas. You are responsible for any mess, which should be cleared up and disposed of immediately. Guests must not leave their pet alone in the pod under any circumstances. The campsite reserves the right to ask the owner of any dog which causes a nuisance or a threat, to remove the dog or leave without entitlement to a refund.

Comments & Complaints         

Every reasonable care will be taken to ensure that the camping pod and site amenities are presented to a high standard. Should you find any cause for complaint, please immediately contact the campsite owner/manager, so that reasonable steps can then be taken to rectify the problem.

The campsite will not normally make any refunds in respect of complaints made after the guest’s departure from the campsite if the guest did not make the problem or complaint known to the owner/staff during the Visitor’s stay.

Our Liability

If we fail to comply with these Booking Terms, we are responsible for loss or damage you suffer that is a foreseeable result of our breach of these Booking Terms or our negligence, but we are not responsible for any loss or damage that is not foreseeable. Loss or damage is foreseeable if they were an obvious consequence of our breach or if they were contemplated by you and us at the time we entered the Contract. We do not in any way exclude or limit our liability for: (a) death or personal injury caused by our negligence; (b) fraud or fraudulent misrepresentation; or, (c) any breach of the terms implied by the Consumers Rights Act 2015.

Events Outside Our Control

We will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under a Contract that is caused by an Event outside Our Control.  An Event Outside Our Control means any act or event beyond our reasonable control, including without limitation strikes, lock-outs or other industrial action by third parties, civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war, fire, explosion, storm, flood, earthquake, subsidence, epidemic or other natural disaster, or failure of public or private telecommunications and utility networks. If an Event Outside Our Control takes place that affects the performance of our obligations under a Contract: (a) we will contact you as soon as reasonably possible to notify you; and (b) our obligations under a Contract will be suspended and the time for performance of our obligations will be extended for the duration of the Event Outside Our Control. We will attempt to arrange a new booking with you after the Event Outside Our Control is over.

Communications between us

If you wish to contact us in writing or to give us notice in writing, you can send this to us by Email to annieeds@hotmail.com or by post to Camping Pod Heaven LTD, Abriachan, Inverness, Highland IV3 8LB. We will confirm receipt of this by contacting you in writing, normally by email. If we must contact you or give you notice in writing, we will do so by email or by pre-paid post to the address you provide to us in your booking.

Information

All the information we collect and hold about you and members of your party may be stored in our computer and other filing systems. We collect and keep information about you and members of your party to enable us to administer our services to you.

Other Important Terms

We may transfer our rights and obligations under a Contract to another person/s and/or company, but this will not affect your rights or our obligations under these Booking Terms. You may not transfer a Booking to another person. This contract is between you as the lead guest, other members of your party and us.  Each of the paragraphs of these Booking Terms operates separately. If any court or relevant authority decides that any of them are unlawful or unenforceable, the remaining paragraphs will remain in full force and effect. If we fail to insist that you perform any of your obligations under these Booking Terms, or if we do not enforce our rights against you, or if we delay in doing so, that will not mean that we have waived our rights against you and will not mean that you do not have to comply with those obligations. If we do waive a default by you, we will only do so in writing, and that will not mean that we will automatically waive any later default by you. Please note that these Booking Terms and the Contract are governed by Scottish law. This means a Booking or a Contract and any dispute or claim arising out of or about them will be governed by Scottish law. You and we both agree that the courts of Scotland will have non-exclusive jurisdiction. However, if you are a resident in a country other than Scotland you may also bring proceedings in your country of residence. We will not file a copy of the Contract between us.
